Settling on a CMS that can help you with your Clinic Management and Daily Operation takes time & effort. But, what’s next after choosing your cms?
For users whom are new to digital CMS, it’s a relatively easy set up of Master Data before usage can begin. However, for most clinics with their existing system, a Data Migration is required.
What is Data Migration?
Data Migration is the process of moving digital information from its existing system to a new system. This includes transferring and transforming data to a different location, format, environment, storage system and/or database.
Why do we need to migrate data?
As we upgrade to a better Clinic Management System, the previous vendor may not continue to provide access to your patient data. Without such data, it is not possible to find out what diagnosis, services or medications have been provided to the patient. A Data Migration will allow our users to transfer their existing data to our new system, allowing them to view previous records.
How will a data migration take place?
Data migration will occur through the following process:
- Raising the request for migration
- Development of migration plan
- Execution of migration plan
- Follow up on Post Migration
Firstly, the clinic owner should raise a request for migration to the outgoing and incoming vendors
Lastly, once the migration have been executed, the clinic owners should check and ensure that all the necessary data have been ported over.
The following table is a guideline on the responsibility matrix of each process.
- Responsible (R)= Assigned to complete the task or deliverable
- Accountable (A) = Has final decision-making authority and accountability for
- completion. Party also has ultimate control over the project and its resources.
- Consulted (C) = A stakeholder or subject matter expert who is consulted before a
- decision or action. Not directly involved in carrying out the task.
- Informed (I) = Party must be informed before/after a decision or action.

Conclusion
Data Migration is not a simple process of bringing data over due to the complexity and differences of system. However, the benefits of being able to view past records and utilise familiar dataset is advantageous along with providing a great ease when transitioning to a new system.
All parties play an essential role in a successful migration and without sufficient effort from all parties, it is easy for a migration process to go wrong.
